The 20-minute weekly money meeting

A four-block agenda that keeps cash, invoices, pipeline and profit in view, so there are no surprises at the end of the month.

The 20-minute weekly money meeting

Most financial trouble in small businesses is not caused by bad luck. It is caused by looking away. A short weekly meeting with your numbers solves most of it.

The rule is simple: same day, same time, twenty minutes, every week. Put it in your calendar and treat it like a client call.

The 20-minute money meeting: cash, invoices, pipeline and profit, five minutes each
Four blocks of five minutes.

Block 1: Cash (5 minutes)

Open your business bank account. What is the balance? What came in this week, and what went out? Compare with what you expected. You are not judging, just noticing. If the balance is lower than you thought, find out why now rather than next month.

Block 2: Invoices (5 minutes)

Check which invoices are unpaid and which are late. Send or schedule reminders. Send any invoices that should have gone out already. If you have set up automatic reminders, this block is mostly checking that they ran.

Block 3: Pipeline (5 minutes)

List who you are talking to and what the next step is for each. Pick the three outreach tasks you will do this week. No pipeline means no future income, so this block protects the months ahead. Use the plan in get your first client in 7 days if you need a starter routine.

Block 4: Profit (5 minutes)

Move money first. Transfer your profit set-aside and your tax set-aside to separate accounts, then look at what is left to spend. Even a small percentage builds the habit. The profit-first guide shows one way to split every deposit.

Keep a one-line log

After each meeting, write a single line: date, cash balance, unpaid invoices, one decision. After a few weeks you will see patterns, such as slow payers or seasonal dips, that you cannot see day to day.

Date Cash Unpaid Decision
Mon $4,120 $1,800 Chase the 10-day-late invoice
Mon $4,560 $900 Pause a software subscription

Make it stick

  • Pair it with something pleasant, like coffee.
  • Use the same template each time. A spreadsheet works, or the budget tracker.
  • Never skip two weeks in a row.
  • Share the numbers with an accountability partner if you can.
Key takeaways

  • Meet your numbers weekly: cash, invoices, pipeline, profit, five minutes each.
  • Move profit and tax money before you spend what is left.
  • Keep a one-line log so patterns show up.
  • Looking is most of the solution.
